Innovation in the management and efficient access to corporate knowledge through generative AI
The
Challenge

Exolum already had a conversational assistant developed by Bravent within Microsoft Teams, designed to answer queries from different areas of the company, such as procurement. This tool facilitated interdepartmental communication and provided quick access to corporate information.

Recognizing the strategic value of this solution in task automation and knowledge management, the company decided to take it a step further: expanding its document coverage and enhancing its ability to process more complex information, thereby strengthening its usefulness and impact on employee productivity.

Intelligent assistant with generative AI to optimize corporate document search and management
The
Solution

To address Exolum’s new needs, Bravent designed an intelligent assistant based on Microsoft and Azure technologies, enhancing document search and query capabilities through generative artificial intelligence.

The solution was built on several key pillars:

  • Advanced Indexing: Development of a Power Automate flow connected to SharePoint, enriching information through metadata.
  • Enhanced Conversational Engine: Instead of a classic RAG model, an iterative approach based on statistical components was adopted, allowing for evaluation and optimization of the most advanced information retrieval techniques.
  • Seamless Integration in Teams: Deployment of the assistant via Copilot Studio, also accessible from SharePoint through an iframe.
  • Scalable Architecture in Azure: Designed to incorporate new data sources and future use cases.
  • Agile Methodology: Project management using Scrum, working in short sprints to deliver continuous value and accelerate results.
Centralized and efficient access to corporate knowledge, boosting productivity and decision-making
The
Impact

The project enabled Exolum to scale its conversational assistant and demonstrate that generative AI can be safely and effectively integrated into internal processes.

Thanks to its collaboration with Bravent, the company achieved:

  • Centralization of corporate knowledge in a single assistant integrated with Teams and SharePoint.
  • Reduction of search and document management times, enabling quick and reliable access to information.
  • Increased accuracy of responses, thanks to generative AI and optimization through an iterative RAG model.
  • Enhanced team productivity by improving decision-making and simplifying access to key information.

“Thanks to the project with Bravent, our corporate information is now more accessible and useful for all employees, significantly improving efficiency and decision-making in our daily operations.”  Lorenzo Chávez Tapia, AI Engineer at Exolum
